MINUTES OF THE LIBRARY ADVISORY BOARD

April 24, 2002

 

The meeting was convened by Dr. Richard Jacques, chair, at 4:00 p.m. in the Dean�s Conference Room.

 

Present: ��������������� Rosemary Buck, Steve Davis, Alan Grant, Richard Jacques, Allen Lanham, Marylin Lisowski, Peter Loewen, Amanda Murphy, Barbara O�Donnell, Charles Phillips, and Jeff Stowell.

 

Excused:��������������� Kathryn Bulver, Melanie Burns, Mahmood Butt, Matthew Monippallil, Sarah Newton, Cheryl Noll, and Wafeek Wahby.

 

 

I.�� Approval of Minutes

 

Dr. Jacques moved that the minutes from the March 27, 2002 meeting be approved.A vote was taken, and the minutes were unanimously approved.

 

 

II.Communications

 

Communications were received from Dr. Kathryn Bulver, notifying Dr. Jacques that she was unable to attend this meeting and her absentee vote was noted by the secretary.

 

 

III.Election of Officers for 2002-03

 

Dr. Peter Loewen and Dr. Jeff Stowell had been nominated as officers for 2002-03.Ballots were distributed; Dr. Loewen was voted chair with Dr. Stowell becoming vice-chair.

 

 

IV.Dean�s Report

Human Resources Issues

 

Dr. Lanham gave an update on the current faculty search.The search committee has reviewed the files of over sixty candidates for this position.From this pool, the committee conducted phone interviews with twelve applicants.The committee will continue to narrow the field, so that the final 3 or 4 candidates will be invited to interview some time in May.

Planning

Dr. Lanham discussed the latest news concerning the ongoing renovation of the building.He said that the south entrance is expected to open any day; with each passing day, more and more progress is being seen in this area.Dr. Buck asked for clarification on the security set-up at the south entrance.Dr. Lanham explained that upon entering the building from the south, one can only go to Archives, or use the stairs or elevator to the main level where security gates are located next to the Circulation desk.Dr. Lanham also mentioned the recent problems with the fire alarm system that caused the building to be evacuated twice in one night.He said that everything possible is being done to ensure that false alarms like these do not recur, but the system is still in the de-bugging phase.

 

Dean Lanham also pointed out that the long-awaited media shelving has finally arrived on the fourth floor.This style of shelving provides good future use; its versatility ensures that it will be useful as technologies change.

Dr. Lanham also spoke about the Rededication Celebration which is to be held in the fall.As stated at the last meeting, the ceremony was originally going to be held on April 18; Dean Lanham pointed out that moving the celebration back was a good decision, due to the recent air conditioning situation and the continued lack of access to the south entrance.A specific date has not been set yet, but it is expected to take place in late September, in order to give students and faculty time to settle in, and to avoid the anniversary of September 11.

 

Dean Lanham also spoke of the Library�s budget for FY03.He mentioned that the Book and Materials budget was not increased by the IBHE.He said that this has happened before, and while unpleasant, we have to find a way to make do with the funds we have.

 

Dr. Lanham also announced that the Library�s grant application for a traveling Frankenstein exhibit has been approved.This is an exciting opportunity for the Library, which will be one of only eighty libraries in the nation to receive this honor.The exhibit will stay in each library for a period of 6 weeks before traveling on to the next recipient.Dr. Lisowski asked which 6 week period the exhibit would be at Booth.�� Dean Lanham said that he was hoping to find out the exact dates very soon, but right now he could only report that it would be sometime between September 2002 and September 2006.The time requested on the grant application was October/November of 2002.This would be a good time to have the exhibit because it would coincide with the reading conference here on campus and Halloween.

 

Recently revised library policies were also discussed.Dean Lanham handed out copies of the most recent draft of the �Faculty Studies Policy� and asked members for their input on the prioritizing of the assignment of these rooms.He said that in the past, faculty members have written a paragraph concerning their need of or interest in being assigned one of the rooms.Dr. Buck stated that it would be wonderful to have a room in the library, especially when someone is just beginning a project, the time when many sources are consulted.Dr. Lisowski said that the best way to decide who should inhabit the rooms should be based on the proposal submitted; whoever makes the best case should have the opportunity to use the room.Dr. Grant shared his �economist�s solution,� to auction off the rooms, renting them to the highest bidder.Dr. Jacques mentioned the idea of using a waiting list, so that everyone with a need might eventually have the opportunity to use one of the rooms.Dr. Loewen asked for clarification on item number 5 of the draft, which concerns library materials being checked out before being taken into a study.Dean Lanham explained that the only way to police this is for Library staff to periodically check the studies for any items that have not been checked out.

 

A draft of the �Library Conference Room Policies� was also distributed.Dr. Lanham stated that the Library cannot accommodate everyone who wants access to the rooms.He said that meetings should not be scheduled too close together because this inevitably leads to a traffic jam, as one meeting runs over just as another is ready to begin.

 

 

��������������� Assessment Activities

 

Dean Lanham stated that the �Patron Satisfaction Survey, 2002� has been extended another week.The survey is usually distributed during the week of National Library Week, but, this year was also extended to the week after in hopes of getting more responses.The recent hot temperatures in the building affected the number of patrons in the Library.

 

The �Electronic Resources Survey for Faculty, 2002,� usually held in the spring, will be held in September this year, in hopes of avoiding the end of the year crunch, when many faculty members are too busy with exams and such to properly focus on the survey.

Other

 

Library Advocacy Day in Springfield was April 17, 2002.Dean Lanham reported that our state representatives were single-mindedly focused on the budget, and that they were clearly unable to make any promises concerning future funding.They did, however, seem quite positive in their assessment of the value of libraries to our state.

 

Dean Lanham thanked the members for serving on the LAB this year.
