MINUTES OF THE LIBRARY ADVISORY BOARD

February 11, 2009

 

Dr. Karla Kennedy-Hagan, Chair, convened the meeting at 4:06 p.m., in the Dean�s Conference Room 4515, Booth Library.

 

Present:� Rick Anderson, Barbara Carlsward, Terri Fredrick, Joe Gisondi, Matt Hagaman, Karla Kennedy-Hagan, Dean Allen Lanham, Thomas McDonald, Sham�ah Md-Yunus.

 

Excused: Marie Fero

 

I.� Welcome and Comments

Karla Kennedy-Hagan called the meeting to order.� A motion was made and seconded to approve the minutes from the December 3, 2008 meeting as written; the motion carried.

 

Terri Fredrick announced that Karen Whisler, Booth Library, and Dr. Ruth Hoberman, English, will present a workshop on Scholarly Databases on Wednesday, March 4, 2009, in Booth Library Room 4450.� The purpose of the workshop is to introduce faculty to the scholarly databases that provide full-text access for major research activities.� Karen will demonstrate how to access the databases, and faculty participants will share how they have incorporated the use of these materials in their research and/or teaching.

II. Communications

Communications were received from Marie Fero, Kiran Padmaraju, Tina Veale, and Heather Webb regarding their inability to attend today�s meeting.

 

III. Old Business

No one had any lingering issues from previous meetings they wished to discuss.

 

IV. New Business

Dean Lanham announced that at the next meeting of the Library Advisory Board the 2009-2010 Library Calendar will need to be approved.

 

 

Dean�s Report

 

Welcome

Dr. Lanham introduced guest speaker, David Bell, a reference librarian and bibliographer for theatre arts at Booth Library.  In FY07, David was successful in obtaining grant funds from the Consortium of Academic and Research Libraries in Illinois (CARLI) for a digitization project under the Performing Arts Cooperative Collection Project: Early American Theatre.� David chose to digitize the playbills from the Sullivan Little Theatre on the Square.� He was able to collaborate with the management of the Theatre, and has digitally archived about 250 playbills from 1957 � 2007.� Students were hired to work over the summer to scan the documents, and the cataloging data is being added, and will be searchable.� Included in the information will be names of shows, cast members and crew, and can be accessed as a local history resource.� David explained that the Sullivan theatre is rich in history and recently celebrated their 50 year anniversary.� It is also the only Actor�s Equity theatre between Chicago and St. Louis.

 

In addition to this digitization project, Booth Library has also digitized Eastern�s Warbler beginning with the 1914 edition, and is ongoing.� The Daily Eastern News is also being digitized.� David hopes to be able to include playbills from Eastern�s theatre department as well as other printed materials such as the Vehicle.

 

Personnel

Dean Lanham announced that there has been no progress in the staffing issues.�

 

Service Issues

Dean Lanham announced that he would participate in a Student Senate Forum to be held on March 10, 2009, at 7:00 p.m. in the north reference room area of Booth Library.� He encouraged interested Board members to attend.� His message will state that if additional monies are available for the library, the library should enhance collections and services, and not merely provide additional hours of operation.

 

Dr. Lanham shared a memorandum sent from the Consortium of Academic and Research Libraries in Illinois to their membership.� The memorandum entitled, �The Value of CARLI Services for FY 2008� provides the CARLI membership with a concise and useful way to highlight the value of their membership to stakeholders.� Eastern spent $256,506 for their membership, I-Share, brokered databases, the Chronicle of Higher Education, and a one-time electronic resources purchase.� In return, EIU received $409,646 in subsidies and discounts provided through the CARLI membership.� These savings amount to a Return on Investment (ROI) of $1.60 for every dollar Eastern invested in CARLI.� In addition to the customized value statement, CARLI also provided a �CARLI by the Numbers� document to highlight some of the services and resources that their members receive at a greatly reduced or no direct cost to the institution.� Lanham also added that Eastern is CARLI�s sixth highest payer, and the consortium is an enormous value for all institutions.

 

         Booth After Hours

The Women in Science and Mathematics (WISM) have reserved the Library�s Conference Room, West Reading Room, and the Dean�s Conference Room for another �Booth After Hours� type event.� The WISM Committee has planned their program and will include guidance for graduate school programs and demonstration of databases available for practicing advanced studies national examinations.

 

         Hands on EIU

Dean Lanham announced that Jocelyn Tipton and other reference librarians along with Ellen Corrigan from Technical Services have been planning an activity for Booth Library to participate in the �Hands on EIU� event scheduled for April 4, 2009.� The event is held on �admitted student day,� and the Library will be giving away free t-shirts.� The shirts will be imprinted with �what�s my number, check me out,� and the participating students� will meet with Ellen Corrigan, or another representative, who will provide the student with the Library of Congress call number based on the subject area that reflects their interest.

 

 

 

         March 9 Mortenson Center African Group to Visit Booth

On Monday, March 9, Booth Library will host 9 librarians from South Africa and a representative from the Mortenson Center for International Library Programs at the University of Illinois Urbana-Champaign.� These librarians are interested in the technological aspects of North American librarianship.�

 

         International Student Association exhibit April 20-24

The International Student Association will display panels that represent the countries of the world that many of Eastern�s international students call home.� The exhibit will be on display from April 20-24, 2009.

 

Collections Issues

         Gift to Booth Library

Dean Lanham announced that he received notice that Booth Library was named in the estate of a 1948 graduate, Wilma E. (Winters) Morris.� She bequeathed one-third of her portion of the estate to Booth Library.

 

Planning Issues

         Three Cups of Tea: One Man�s Mission to Promote Peace...One School at a Time by Greg Mortenson and David Oliver Relin has been chosen for the �Spring Read 2009.� �Karla Kennedy-Hagan has volunteered to help lead a discussion of this book.� Dr. Lanham expects to have two discussion sessions about the book after spring break.�� He asked that Board members let him know if they wish to be involved.
